Who we are

De Mailkamer is a trade name of Ralph Orens, sole proprietorship, Kerkstraat 87, 3550 Heusden-Zolder, Belgium. Company number BE 1016.736.875. For questions about your data: ralph@demailkamer.com or +32 468 13 08 14.

What data

  • Through the form: your name, your business name, your email address, your phone number, your website or Instagram, the type of business and your message.
  • When you email, call or text: whatever you share in that conversation.
  • When you become a client: the details needed for our work together and for invoicing.
  • Visitor statistics: I count visits with Cloudflare Web Analytics. It works without cookies and doesn't follow you across other websites.

Why

  • To answer your request and send you a sample design or quote. This happens at your request, before any agreement is made.
  • To carry out our agreement, if you become a client.
  • To keep my accounts, because the law requires it.
  • To improve the website, based on anonymous visitor numbers. That is my legitimate interest.

How long

Requests that don't lead to working together are kept for at most 12 months. Client data is kept as long as we work together. Invoices and accounting records are kept for as long as the law requires.

Who we share with

I never sell your data. I work with a few services that process data for me:

  • Web3Forms, to send the form to my mailbox.
  • Google Workspace, for my email.
  • Cloudflare, for hosting the website and the visitor statistics.
  • My accounting software, for invoicing.

Some of these services may process data outside the European Economic Area. That only happens with the safeguards the GDPR requires, such as the European Commission's standard contractual clauses.

Clients' lists

When I send newsletters for your business, I process your customers' data on your behalf. You are then the controller and I am the processor. We put that in a data processing agreement. The Mailchimp account is in your name.

Cookies

This website doesn't set cookies. The fonts are hosted on our own server and the visitor statistics work without cookies. That's why you don't see a cookie banner.

Your rights

You can always ask to see, correct or delete your data. You can also object, or ask to restrict the processing or to transfer your data. Send an email to ralph@demailkamer.com. I'll reply within the period the law sets.

Not happy with how I handle your data? You can file a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels (dataprotectionauthority.be).

If this statement changes, the new version will be on this page, with the date of the last update at the top.
